Catering Policies

 

Catering Proposal

Based upon information provided through the submission of the online request form and information generated through direct conversation with client, Bolen’s Provisions will create a Catering Proposal based off the estimated guest count that includes an Initial Estimate for services requested. Upon verbal agreement of the Catering Proposal, a Catering Agreement will be drafted and sent for signatures.

Deposits & Payment

Within three (3) days of signing the Catering Agreement, the Client shall provide a nonrefundable deposit to the Caterer to secure the date of the Event. The Deposit will be 50% of the Initial Estimate.

Within two (2) days after the Event, the Caterer shall provide the Client with a final invoice, which will include an itemized list of all additional costs and fees actually incurred by the Client in connection with the Event. The Client shall pay the Caterer the balance of the Final Invoice (less any payments, including the Deposit, previously made) within three (3) days of receiving it.

Menu

The parties shall agree on the menu of food to be provided for the Event at least four (4) weeks before the Event.

Number of Attendees

At least twenty (20) days before the Event, the Client shall inform the Caterer of the number of persons expected to attend the Event. If the expected number of persons at twenty (20) days is greater than the Initial Estimate, the Caterer will adjust the Initial Estimate to accommodate additional persons. If the actual number in attendance at the Event is greater than the stated amount provided by the Client at twenty (20) days, the Caterer cannot guarantee that sufficient food will be available for all persons in attendance. If the actual number of guests in attendance at the Event is fewer than the stated amount at twenty (20) days, the Client will still be charged for the total guest amount confirmed by the Client.

Additional Services

If the Client wants to buy additional services offered by the Caterer, and the Caterer agrees and can fulfill that request, the Caterer will complete an amended Proposal and provide an additional cost estimate based on the information from the Client. The Caterer will bill for any agreed-on additional services.

Cancelations

If your event is cancelled for any reason, the nonrefundable deposit will be forfeited.

Outside Food & Beverage

Outside food is permitted, as long as a separate table is accommodated for said food. Outside beverages are permitted, as long as the Client holds an event ABC permit and insurance policy to have such beverages provided to guests at a separately accommodated table at the event location.

Rentals

Bolen’s Provisions can provide you with a rental quote based upon your events requirements. Unless otherwise arranged, the client is responsible for accepting the delivery of the rentals at your event location. The client is responsible for all charges due to shortages and damages to the rental items.

Excess Food

Bolen’s Provisions rejects the notion that excess food that is NOT exposed to guest contact is waste. The client is welcome to any and all leftover items that have not been plated or presented at your event. Bolen’s Provisions will utilize the clients appropriate food storage containers.

Recycling, Garbage, & Food Waste

Bolen’s Provisions will recycle bar glass, any recyclable items, and compost food waste from plates as well as compostable items. We will also bag garbage for deposit into the client’s home waste receptacles or remove it for disposal off site. Arrangements must be made in advance for the appropriate handling of waste.
